CS-CAN | INFO-CAN runs this CV database so that computer science students and recent graduates in Canada can be found by employers who are recruiting. This policy explains what we collect when you submit a CV, who can see it, how long we keep it, and how to have it removed. It applies to this website.
We ask for only what an employer needs in order to find you, and we ask your permission before sharing any of it.
What we collect
When you submit a CV, we collect:
- Your name and email address
- Your phone number, if you choose to give one
- Your institution, program of study and degree level
- Your graduation date, or expected graduation date
- Whether you are eligible to work in Canada
- The kinds of opportunities you are looking for, and any preferred locations
- The skills you select
- Your CV, as a PDF file
- A link to your LinkedIn profile or portfolio, if you choose to give one
- Your answers to the permission questions on the form
We also record the date of your submission and the IP address it came from. That is used only to stop automated abuse of the form.
Submitting a CV creates an account for you on this site so that you can sign back in to update or withdraw it. That account holds your name, your email address, and a password you set yourself. We never see your password.
Why we collect it
For one purpose: to make your CV available to employers recruiting through CS-CAN | INFO-CAN, and to contact you about your own submission. We do not sell your information, we do not use it for advertising, and we do not share it with anyone outside the process described here.
Who can see your information
Your CV is not public. It is not visible to visitors, it does not appear in the site search, and search engines are instructed not to index it.
It can be seen by two groups:
- Employers and recruiters whose organisation we have approved, and only while their access period is open
- CS-CAN | INFO-CAN staff who administer the database
Employers see your information only where you gave permission on the form. Every time an employer opens or downloads a CV, we record who did it and when.
How long we keep it
We keep your CV for the current recruiting cycle and delete it no later than twelve months after you submit it. You can ask us to remove it sooner at any time, and you do not need to give a reason.
How your CV is stored
Your CV file is stored outside the public area of the web server, so it cannot be reached by guessing a web address. It is delivered only after we have checked that the person asking for it is entitled to see it. Files are renamed when they are uploaded, so the stored filename reveals nothing about you.
Your choices and your rights
Under Canadian privacy law you can ask us what we hold about you, ask us to correct anything that is wrong, withdraw your consent and have your CV deleted, and ask how your information has been used.
You can sign in to update or withdraw your CV yourself, or email us and we will do it for you. Withdrawing your CV does not delete your account unless you ask us to.
If you are unhappy with how we have handled your information, you can complain to the Office of the Privacy Commissioner of Canada.
Cookies and technical data
This site sets cookies only where they are needed to make it work, such as a session cookie when you sign in. We do not use advertising or tracking cookies, and we do not run analytics that build a profile of you.
Services we rely on
- Spam protection. To stop automated submissions, the form may use a challenge service. It receives your IP address and basic technical information about your browser in order to tell a person from a script.
- Email. Messages from this site, such as your account details and confirmations, are sent through our mail provider.
- Hosting. This site and its files are held on servers operated by our hosting provider on our behalf.
Changes to this policy
If we change this policy we will update the date below. If a change materially affects how your information is used, we will contact the people whose CVs we hold.
